1. Start With A Comparable Packaging Brief
Suppliers cannot quote the same project if they receive different information. Prepare one brief and send the same version to every shortlisted manufacturer. Include finished dimensions, product weight, order quantity, material preference, printing, finishing, insert requirements, packing method, delivery country and target date.
If some details are undecided, identify them clearly. A useful supplier should explain which choices affect structure, appearance, protection, price or shipping volume instead of silently making assumptions.

Do not judge experience only by a general product list. Discuss the exact construction, material, printing process, finish and packing method. Request relevant sample photos or physical samples when appropriate, while remembering that another brand’s sample does not automatically prove that your specification will perform the same way.
3. Evaluate Questions, Not Only Answers
Good pre-production communication often begins with the supplier asking detailed questions. They may need to clarify whether dimensions are internal or external, how a product is removed from an insert, whether a mailer ships directly, how much weight a paper bag carries, or which color reference controls printing.
A quotation produced without resolving important gaps can change later. Compare how each supplier identifies missing information and documents assumptions.

Different samples answer different questions. A blank structural sample can confirm size, assembly and product fit. A digitally printed sample can help review overall artwork and appearance. A production-process sample may be needed for closer evaluation of final materials, color or specialty finishes.

7. Understand MOQ And Production Planning
Minimum order quantity is influenced by material purchasing, printing setup, tooling, finishing and efficient production. Instead of asking only for the lowest MOQ, discuss the quantity that matches your launch risk, unit-cost target, storage space and expected reorder plan.
Production timing should be confirmed after artwork, material, sample and process requirements are clear. Avoid relying on a general lead-time promise before the specification is approved.
8. Discuss Export Packing And Shipping Early
Packaging can occupy significant volume even when it is lightweight. Flat packing, nested packing, carton dimensions, pallet requirements and protection methods may affect freight and storage. Tell the supplier whether the order ships to a warehouse, fulfillment center, factory or event site.
Confirm the delivery country and postcode before requesting a freight estimate. Shipping costs and transit plans can change, so they should be checked against the final packed quantity and current route.
9. Protect Artwork And Approval Control
Identify who can approve dielines, artwork, samples and specification changes. Use clear file names and revision dates. If a dimension, color, finish or product changes, ask the supplier to explain the production and cost impact before approving the revision.
10. Look For A Practical Communication Fit
A strong supplier relationship depends on clear communication, traceable approvals and realistic expectations. Notice whether the team summarizes decisions, flags uncertainty and separates confirmed facts from suggestions.
